Privacy Policy
This policy explains how Clearstone Financial handles personal information through its public website, including information provided when contacting us or using website features, and information processed by providers that support those features. Separate privacy or consent documents may apply when a person enters a client or regulated service process.
Overview & Scope
This policy concerns personal information handled through Clearstone Financial’s public website — for example, when you read pages, send a message, or use a website feature. It is written to be read on its own, without needing another document.
The website policy is separate from the privacy and consent process that may apply when someone becomes a client or enters a regulated advisory workflow.
That separate process is described to you directly at the time it applies, and is not governed by this website policy.
Clearstone Financial is an independent licensed practice serving Atlantic Canada. This page is a plain description of how the website handles information and the choices available to you; it is not a sales page, a client agreement or a consent form, and it does not by itself prove legal compliance.
On a phone or tablet, the contents list above appears before this text, so you can move to any section at any time.
Information We Collect
The website collects two broad kinds of information: information you provide directly, and technical information generated as pages load. We aim to collect only what is reasonably needed for the purpose it supports.
Information you provide
When you contact us or use a website feature, you may provide details such as your name, email address, telephone number, and the content of your message. If a feature asks for anything more specific, the reason is explained where you are asked.
Technical information
As with most websites, some technical information is generated when pages load — for example a device or network address, browser type, and which pages were viewed. This supports secure operation and diagnosis of problems. Optional measurement of website usage happens only if you turn analytics on.
| Information | Why it is handled |
|---|---|
| Contact & inquiry details | To respond to your inquiry and any follow-up you ask for. Includes your name, email, phone and message. |
| Appointment details | To arrange and manage an appointment you request, where a booking feature is used. |
| Technical & device information | To operate the site securely and diagnose problems. Includes network address, browser and pages viewed. |
| Optional measurement | To understand website usage — only where you have turned analytics on. |
How & Why Information Is Used
Information handled through the website is used for the purposes below. Marketing is treated as a separate, optional choice — it is never bundled into an ordinary inquiry.
To reply to questions, requests and any follow-up you have asked for.
To provide a website feature or tool you choose to use.
To arrange a meeting where an appointment feature is offered.
To keep the website available, secure and working correctly, and to diagnose errors.
To understand website usage — only after you turn analytics on.
Only as a separate, clearly-offered choice, and only where you have opted in.
Providers, Disclosures & External Services
Running a website involves service providers that help operate it. Some features are embedded in a Clearstone page; others may open on another provider’s website.
The website is hosted and served by Wix, the current hosting and runtime platform.
Messages you send through the site are delivered and stored so we can respond.
Website usage may be measured after you turn analytics on. It does not receive information you submit through forms.
The Book a Consultation page uses an embedded Calendly booking calendar. The calendar loads only after you choose an advisor and a meeting type on that page. Once it loads, the embedded calendar may make requests to Calendly and to services Calendly uses, and it provides its own cookie and privacy controls inside the booking experience. Your Clearstone privacy choices are not a prerequisite for the booking calendar to load.
The mortgage calculators and questionnaire on our Tools & Calculators pages are provided by Broki, the mortgage software Clearstone uses. They load only after you turn on optional features in Privacy Choices, and the questionnaire also waits until you choose to start. Once loaded, they make requests to Broki and to services Broki uses. Information you enter in them, and any form you submit, goes to Broki for Clearstone.
Apply for a Mortgage and the client referral link open Clearstone’s forms on Broki’s website, where Broki’s privacy notice applies to the information it collects.
Another tool may in future appear inside a Clearstone page or open on a provider’s own site, and may collect information directly.
The final provider set is being confirmed and this section is written to stay accurate as it changes. When a feature opens on another provider’s website, that provider’s privacy notice applies to information it collects under its own role. This policy continues to apply to personal information Clearstone receives and controls.
Cookies, Analytics & Privacy Choices
Websites use small amounts of storage and network requests to work. Not all are cookies, and not all serve the same purpose. Technology that is essential to running the site is separated from technology that is optional and requires your choice.
Needed to load, secure and operate the website. This cannot be turned off.
Optional. Remembers preferences you set, where such functionality applies.
Optional measurement, subject to the approved consent model. It does not receive form, financial or personal-inquiry content.
No advertising or remarketing tracking is used at launch under the approved owner policy.
Before you record a privacy choice, Wix may make platform requests. Selecting Essential suppresses optional processing controlled by the site’s Privacy choices. Selecting Optional permits the optional categories described in this policy. Third-party services may make their own requests when they load or when you use them, as described in this policy. Some embedded and platform services operate outside these particular choices: the embedded Calendly booking calendar loads on the Book a Consultation page once you choose an advisor and a meeting type, as described above, and the Wix hosting platform carries out processing needed to serve and operate the site. These are described in this policy rather than switched on or off by the choices here.
You can review or change these choices at any time using the Privacy choices control in the footer of every page.
Communications & Referrals
When you contact Clearstone, your details are used to reply and to handle what you asked about. Communications tied to a request you made are treated separately from optional marketing.
Replies and follow-up about your inquiry or a feature you used.
The ordinary way we respond to website inquiries.
Only where text is actually used and you have provided a number for that purpose.
A separate, optional choice you opt into — never assumed from an ordinary inquiry. Where offered, it includes a way to unsubscribe.
Treated as distinct, and described to you at the time a referral is relevant.
Retention, Safeguards & Processing Locations
Retention
Information collected through the website is kept for as long as it is reasonably needed for the purpose it was collected, and for any period required to meet legal or professional obligations.
Safeguards
Clearstone takes reasonable steps intended to protect information handled through the website against loss and unauthorized access.
Processing locations
Some providers used to operate the website may process information outside your province, or outside Canada, depending on where their systems are located. Where that is the case, the information is subject to the laws of the places where it is processed.
The precise description of where website information is processed is being confirmed, and the final data-location wording will be stated once it has been professionally reviewed.

You can contact Clearstone about the personal information handled through this website. Depending on the circumstances and applicable law, this may include the following.
Ask what website information about you is held and how it has been used.
Ask to correct information that is inaccurate or incomplete.

Identity and unintended submissions
To help protect your information, we may need to confirm your identity before acting on a request that involves personal information. The website is intended for adults and is not directed at children; if you believe information was submitted that should not have been, contact the Privacy Officer so it can be handled appropriately.
Please do not send highly sensitive information — such as a Social Insurance Number, banking credentials, identity documents or medical records — through ordinary email or a general website form. Please contact the Privacy Officer before sending sensitive information so the appropriate next step can be confirmed.
Privacy Contact & Complaints
You can contact Clearstone with a privacy question or request, or to raise a concern about how website information has been handled. The Privacy Officer is the point of contact.
